What Happens at a Team Women Meeting?

This is the number one question I receive from prospective members. They understand it is about networking to build your business and just aren’t sure how the meeting runs to accomplish that.

Team Women has a standard agenda which is to be followed in all chapters. An analogy would be Weight Watchers Meetings. As a Lifetime Member of WW (12 times, under assumed names) I know what to expect when I attend a meeting anywhere in the world. I pull my card out of the box, go to the scale, hand over my book and card, get weighed and sit down. When the meeting starts recognition is done, awards given and a topic discussed. Each meeting is a little different in style, ambiance, etc. based on location and who the group leader is, but you always know what to expect and you feel comfortable visiting other locations.

Team Women Meetings are the same. A great benefit of being a TW Member is the ability to visit other chapters in which your core profession is open. This allows you to network with more women and enhances your membership.

Our agendas are designed with several purposes in mind:

1. To complete the meeting in exactly one hour. When making our schedules, we are often trying to fit in several different appointments. To do that we need to “know” how long we will be at each one.

2. To allow everyone to share who they are and what they do.

3. To have a Showcase Presentation which educates and informs the members of your chapter about your services to more easily generate referrals for you.

4. To recognize referrals!!!!!!!! This is why we exist and each meeting needs to share the excitement and motivation of seeing referrals passed and business done.

The following is the standard Team Women agenda to refresh current members and share with potential members “what we do.”

Team Women Agenda

I. Meeting called to order by president on the hour. (Members and guests need to arrive 15 minutes prior to scheduled start time to check in, pay dues, turn in referral forms and check business card box to stock your cards or replenish your supply of other members’ cards.

II. President Announcements Announcements include chapter business, (e.g., an expo you may be doing) or national announcements (e.g., Team Women University Calls)

III. 30 Second Commercials Each member has an opportunity to introduce herself and her business for a maximum of 30 seconds per person.

IV. Member Showcase(s): The members of your chapter are there to learn how they can best refer business to you. Your team is not there to be sold to. In a showcase, choose one particular area of your business and explain it in detail. Your members function as your outside sales team and business advocates, so the more they understand your business the more effective they will be.

V. Testimonials: Personal referrals and networking works! When you share what a great job someone else did (either providing you with a product/service or treating your referral well) it gives them credibility. It is important for each member in a chapter to try the product or services of the other members so they can speak from first hand experience.

VI. Passing of Referrals: This is one of THE MOST IMPORTANT things to have happen at a meeting. All referrals are turned into treasurer prior to the meeting to be tabulated and then distributed. WE DO NOT ask each person individually, “do you have referrals?” We focus on and celebrate the referrals that are passed and all are celebrated.

VII. Final Announcements and Reminders

VIII. Final round of 30 second commercials

IX. President closes the meeting on the hour

With chapters all over the country it is very important each chapter follow the standard agenda. Through a process of trial and error we have found what works best for our members.

If you have any questions about the agenda or need assistance in following the agenda, please send an email to support@teamwomen.com and we will be there to support you in every way! Your business success is our only goal!

Cheers,
Judi Finneran

A Testimonial for the Team Women agenda and meeting structure: Team Manager Kristen Scott, who is also a member of the North County Inland, CA chapter, recently attended a meeting for another networking organization. The meeting was almost 2 hours long, disorganized, and various people around the room all did the same business and everyone was allowed to share all the different businesses they do. It was very confusing - even though there were only about 12 people there! Guests were given more time to talk than members, which makes no sense since members have paid to be there. All this made her really appreciate her experience with Team Women in a whole new way!

Here's what Joanne had to say about Team Women Maui: "We are a dedicated group of wonderful women. We are already passing referrals and making money! In Maui, our tourism is down, and times are tough, so our tough group gets going! I've met new women, who otherwise I would not have the opportunity to know and we are all dedicated to attending our meetings.  I personally have had 2 great referrals from the group, and hope to have many more. I appreciate so much having that personal testimonial which stands me above the crowd. I have also given referrals, which have turned into business for the members.  We are always keeping our eyes and ears open to bring in  new members as well, as we'd like to grow our group."

Team Women University

Did you miss the call in September with Michelle Berquist? Here are a few thoughts from members who were on the call:

I really enjoyed the Team Women University featuring Michelle Bergquist.  I have been intending to start a client database, but was unsure of the software to use, or the way to do it, and was not completely motivated.  After listening to Michelle, I now know what database system to use, how to set up my database, and how to use it as a tool to improve and increase my business.  Also, starting this database has gone from the bottom of my list to the TOP of my list as I realize how it will help to streamline my business and provide better service to my clients.  Thank you Michelle, and thank you Team Women! - Emily Pettycrew, Team Women Sacramento, CA

I enjoy speakers who are sharp, articulate, and truly offer tools that can be immediately implemented. Ms. Bergquist really delivers. I look forward to hearing more great ideas from her in the future. I can’t wait to purchase my copy of her book ‘How to Build a Million Dollar Database’. - Sandy Kane, Team Women Irvine

Michelle generously shared her system of building a Million Dollar Database. Two nuggets of information I found most helpful — customize fields (in database software) and appreciate your clients! Hey, we all like to be appreciated and customizing fields to gather 'intel' will allow me to appreciate my clients in a way that speaks directly to them. I needed a push to implement this in my business. I will now make this a priority. Participating in the call was well worth my time! - Cynthia Nicholson, Team Women Sacramento

The guest speaker for October's Team Women University call on Tuesday, October 28th at 9am pacific will be Gayle Zinda.

Gayle Zinda gives new relevance to the tired old cliche of “lemons to lemonade” and elevates it with greater meaning! Gayle’s unique history in the cancer field includes experience as a nurse, cancer care business owner, activist and cancer survivor herself. Gayle offers a treasure trove of twenty plus years of rich stories and the motivation to make a difference for all involved in the cancer fight. Gayle has a great gift of connecting with her audience as she shares her personal stories of struggle, strife and success! Gayle Zinda is also a national award winning author for her book, Pink Lemonade. Gayle travels the country with her oldest son Adam in a 31' Pink RV called the "MOTORVATOR" raising cancer awareness on the way to speaking engagements. Together they have traveled over 40,000 miles from coast to coast.

Gayle will bring us her unique perspective on life while sharing things she has learned along the way as a female business owner. She will let us "behind the scenes" of creating a business from the big picture to the nitty gritty. Please mark you calendars and don't miss this call!

An email will follow with details.

Not a Team Women member? You can join us on the Team Women University call for just $10, which will be applied to your membership when you decide to join Team Women in October!

As new members of the Kingman Chamber of Commerce, Team Women Kingman had a ribbon cutting at their meeting on September 30th at 5:30pm. The Chamber Board and Ambassadors were in attendance, and the chapter was able to invite any and all women interested in Team Women.

Tracking the Source of Your Business

Where does your business come from?  Do you know?  Are you tracking it?  When spending precious marketing dollars it makes sense to ensure you are receiving the biggest bang for your buck!  For example, when a Team Women member called to renew her membership, she shared this with me:

"I totaled up the following costs for the past year:  membership fee, chapter dues and I even added the cost of the Team Women Cruise.  I then calculated how much income I had which came to me either directly or indirectly from my Team Women chapter and renewing was a no brainer.  My income over and above my costs was $1100."

This is a great example of evaluating where you want to spend your marketing dollars.   On the Team Women University Call this past week, Michelle spoke about including in your database the source of each new person you add.  Besides impressing them with remembering where you met them, you can quickly see what you have done that has worked when they do business with you.

For the 4th quarter, make it a goal to see where your business came from in 2008.  Set up a system to track all business in 2009, create a report of the information, and evaluate it every quarter.  Another thing to track is the "lifetime value of a client."  For those people who consistently send you business, remember to acknowledge and thank them.

If you have been doing an ad for 6 or more months and you have not recouped the cost of the advertising dollars spent, rethink if you want to continue doing the ad.  If you have a car sticker on your car which has successfully generated business, determine if it needs to be updated.

The bottom line is to find what works and do more of it and stop doing what does not work.

"Don't let the fear of the time it will take to accomplish something stand in the way of your doing it.  The time will pass anyway; we might just as well put that passing time to the best possible use."- Earl Nightingale

Please make sure that Team Women always has your current personal information, such as address, email, website etc. It is very important that we can keep our records current.  Help us spread the news by forwarding this e-zine to your networking friends. Thank you for your continued support!
